Are you unable to meet your deadlines? Are your goals laughing at you? Are you taking stress due to failure?


These questions may affect your overall well-being. Somebody said, "Time and Tide waits for none." These problems occur due to mismanagement of time. Most people find it challenging to maintain a plan to complete all their tasks. It leads to disastrous situations.


Before going to the solution, let me introduce Time Management.

It is a process of planning and organizing different tasks according to the time involved in each activity. 


What Leads to Mismanagement of Time?


If you see your activities, you can find the reasons for mismanagement. A few of them are:


  1. Procrastination

The most familiar friend of every individual who faces time mismanagement is procrastination. Leaving tasks for the last minute leads to inefficiency. It happens due to a lack of motivation or self-doubt.

You do not feel like working on an assignment until it leaves you stranded. You can expect this more in college students, corporate employees, and people postponing grocery shopping (you can add more examples).


  1. Over expectations

You expect more than what you can achieve in a time limit. It leads you to juggle between tasks, leaving you with a pile of activities to complete.


  1. Unplanned Activities

It can happen to anyone. Like the uncertainty of life, unplanned activities can knock on your door at any time. You do not consciously decide while choosing random activities over your other tasks and suffer later.


  1. Multitasking

You may not be a perfect multi-tasker. You will get several chances to realize it. But you keep getting involved in multiple activities simultaneously and lose crucial time.

 

How to Make Time Management Effective


Time management is a necessary skill to live a stress-free and fulfilling life. A few ways to have an effective time management are:


  1. Define Clear Goals

The first step towards time management is to set clear goals. Without specifying your goals, you cannot process your tasks promptly. It can occur due to over-expectations from yourself. You require introspection periodically to have a reality check on your objectives.


Once your goals align, you can split them according to the time to fulfill them. You can divide them into long-term goals and short-term goals.


Creating a to-do list every day is a short-term goal. What you aspire to become in life is your long-term goal. 


All the goals that lead to your long-term goal are your short-term goals.

 

  1. Prioritize Activities

It is necessary to prioritize your tasks. You can do it based on the urgency of completing the job, viz., whose deadline is the nearest first. Use the Eisenhower Matrix (quadrant technique). 

 

  1. Delegate Time Slots

It is sure that each task has a deadline, be it washing your clothes or finishing your office work. So, make sure you divide a time slot for each activity.


For example, washing clothes every Saturday or doing office work comes with its deadline. But you can still interfere with professional duties by setting time for different tasks according to their priority (until it kills the whole day).


  1. Learn To Say No

Another strategy to manage your time is to learn to say no. It saves a lot of time. It should be your Brahmastra at the time unplanned activities come.


You may find it challenging to say no. But with time, it becomes necessary to adapt it. Most problems get resolved by simply saying no and saving your time.

 

  1. Use Techniques Like Promodros

In this technique, you work for a focused 25 minutes and take a 5-minute interval. After completing four pomodoros, you can take a lengthy break for 15-20 minutes.


I will not lie in confessing. I try this technique at times, and it works. But when I do something critical, I lose track of time and work for longer hours. So, I keep trying different time intervals to test my attention span and work around it.


You can also try and customize your pomodoros technique.


Final Words


Time management is essential to survive and thrive in the long run. You have to learn timely to be able to have efficient time management.
